1. Bookings Terms & Conditions

1. All the rates quoted from Palm Bliss International Hotel are exclusive of Government mandate taxes.

2. Rates are subject to change without any prior notice.

3. Payment can be made by company’s cheque, cash /UPI or credit card in the name of Palm Bliss International.

4. Reservations are confirmed automatically if full payment received to hotel.

5. The Hotel reserves the right to collect full payment upon check-in.

6. Our Check Inn Time is 12:00 Noon and Check Out Time is 10:00 Am.

7. For Early Check Inn late and Late check-out request, additional charge will be applied.

8. Early check-in is subject to room availability.

9. Extension will be given depending on the availability.

10. Bills must be settled upon check-in either by cash or credit card, personal cheques are not accepted.

11. Due bills are generated after a complete inspection of the room returned clean and undamaged.

12. The hotel reserves the right to relocate your room(s) to accommodate the function best.

13. Visitors are not permitted in guest room after 8:00 PM.

14. As Bihar is a dry state Alcohol is Prohibited in the hotel premises.

15. Fixed price of Rs. 350/- per plate excluding GST is charged for Breakfast subject to next day of check inn.

2. Cancellation Policy, No-Show & Short Stay

For cancellation received less than 7 days from check-in, 100% will be charged.

3. Lost & Found

Should any guests lose personal belongings while staying at the Hotel, if recovered, the item will be recorded as 'found'. Hotel keeps detailed records of all 'found' items, and will make a reasonable effort to contact the guest if an item is left in the hotel's guest room after the guest has checked-out which will be placed in our Lost & Found store/safe box. We will ship items back at the owner's expense upon request. Any items, which are not claimed within ninety (90) days, will be donated to a local charity or discarded.

4. Guest's Valuables / Articles

The Hotel’s Management will not in any way whatsoever be responsible for any loss / or damage to the Guest's valuable/article unless valuable/article are declared upon arrival/check-in and only to be stored or keep in hotel’s safe box, which located either in Manager’s Office or in Account Dept. Office. Guests will be issued with a receipt for any valuables/articles kept with the hotel.

5. Guest's Belongings in rooms

Guests are particularly requested to lock the door of their rooms when going out or going to bed. The Hotel’s Management will not in any way whatsoever be responsible for any loss / or damage to the Guest's belongings or any other property from either the hotel room or any other part of the hotel for any cause whatsoever including theft of pilferage.

6. Disturbance

The Hotel’s Management reserves the right to require a guest to leave if he/she is causing a disturbance, annoying other guests or Hotel staff or is behaving in an unacceptable manner. It is agreed that the guest will conduct him/herself in a respectable manner and will not cause any nuisance or annoyance within the hotel premise.

7. Management's Rights on Guest's Luggage and Belongings

In the case of default in payment of dues by a guest, the hotel shall have the rights on their luggage and belongings from the room occupied by him / her, and are entitled to detain the same and to sell or auction such property at any time without reference to the guest. The net sale proceeds will be appropriate towards the amount due by the guest without prejudice to the hotel's rights to adopt such further recovery proceedings as may be required. The Hotels also has the right to request any guest to vacate his/her room or other areas of the hotel forthwith, without previous notice and without assigning any reason whatsoever, and the guest shall be bound to vacate when requested to do so.

8. Photographs & Video's

Using photographs and video's taken in hotel for commercial or public purposes is illegal. Those who do so will be subject to prosecution.

9. FOOD & BEVERAGE ARRANGEMENTS

Palm Bliss International Hotel, Patna is pleased to confirm these special these rates are confidential and are not to be disclosed to a third party without the written consent Palm Bliss International Hotel, Patna. The special rates are based on the materialization of the minimum guarantees as outlined in this proposal. Should the numbers decrease, the hotel reserves the right to revise the food and beverage pricing accordingly.

10. Buffet Composition

Buffet composition is from our menu selector. Please find this attached. Please note that any preparation outside the menu selector will be at an additional charge.

The hotel does not permit any Beverage and food to be brought from outside.

11. Taxes

The rates are quoted in INR and are net non-commissionable and exclude applicable taxes and service charge. Current applicable taxes are as per applicable GST.

12. Audio Visual Equipment/ Decoration

All audio-visual equipment and Decoration requirement will be at an additional charge.

13. BANQUET TERMS & CONDITIONS
      1. Events :

      1. Minimum Guarantee: The special rates are based on the materialization of the minimum Guarantees as outlined in this letter of agreement. Should the numbers decrease, the hotel reserves the right to revise the food and beverage pricing accordingly.

      2. The minimum guarantee attendance must be confirmed to the hotel at least 7 days before the day of the event. The hotel can accommodate food & beverage requirement up to a maximum of 10% over the guaranteed pax. If the hotel is able to provide food exceeding 10% above the accepted guaranteed pax (either in part or the full buffet), full per plate charges along with an additional charge of 15% of the agreed plate charges will be applicable

      2. Hours of Usage:

      1. Duration of Service: Venue is reserved for as per the food and beverage schedule stated. Should the event overshoot the aforesaid usage time, the party will have to bear any loss caused to the hotel due to such overstay or 20% of the total bill value, whichever is higher. The estimation of the loss shall be done by the management Palm Bliss International Hotel, Patna at its sole discretion.

      2. Menu Selection: Menu will be as per the menu composition finalized, and as per the menu selector. We request you to finalize the menu at least 72 hrs. prior for us to tailor make the menu to your requirements post which any amendments would be subject to our Chefs discretion. Alternately we will be pleased to forward suggest menus specially designed by our Chef closer to the event date. All items outside of the agreed menu compositions and the menu selector will be at an additional charge.

      3. Beverage: All beverages would have to be procured from the hotel and would be charged as per consumption.

      4. Food: The Guest will not be permitted to take out any food, consumed or not consumed, from the hotel's premises. The Guest will also not be permitted to bring inside the hotel any food and beverage. In the event, as an exception on rare occasions, that the hotel permits outside food to be brought inside the hotel, then the Guest will be required to sign the hotel's disclaimer. There may be additional charges, as mutually agreed, that will be applicable. Further all such food that is not consumed will not be permitted to be taken outside the hotel after the event.

      5. Licences Fees/ Permissions: Applicable licence fees will be at an additional charge for musical functions, live performance and DJ event. Should your event require an additional licence/permission other than what is stated above then the hotel will charge the additional fees accordingly.

      6. All requisite permissions & no-objection certificates for the event can be procured directly by the guest or any third party employed by the guest at their own expenses. The hotel shall not permit any such activities without the due permissions & no-objection certificates from the appropriate government authorities. A valid copy of these permissions/no-objection certificates are to be received by the hotel prior to the start of the event.

      7. External Contractors: Should the company be engaging any external agencies to execute any part of the event, the same will need to be advised to the hotel well in advance. All contractors will be required to adhere to and sign our Outside Vendor's Policy. There is also a vendor fees that will be applicable. Please request for a copy of the same prior to confirming service to any vendor.

      8. Audio Visual and Electrical Installations: No outside Audio Visual and Electrical Installations are allowed in Palm Bliss International Hotel by Party/Company. The Hotel is not responsible for any failure of electrical items, however for such hotel tries to repair such item as soon as possible.

      9. Parking: Hotel shall not be responsible for the cars of the guests being parked in the hotel premises during the function or for any loss or damage caused to it.

      10. Security: In order to ensure the safety of your guests it is mandatory that all your non-resident delegates carry their invitation letters/ cards & one Identity proof at the time of arrival at the conference & meeting hall. All the goods/ materials & guests are subjected to a security check before entry into the conferencing & meeting premises.

      11. Fire Exits: Please note that all fire exits in the halls must be left clear and not blocked by furniture/drapes or any set -up material. The floor plan of the same to be submitted to the hotel seven days in advance and the same is subject to approval from the hotel's management.

      3. Clearance :

      The hotel will not be responsible for provision of any storage space for the display materials and equipment. This would be cleared from the function space on each day. For all halls blocked till hours, the function space needs to be cleared in all respects of furniture, fixtures, poster stand any other such material by hours each day.       4. Set up/ Layouts :

      All set ups and layouts must have prior approval of the hotel and confirm to the guidelines/recommendations of the hotel's management.

14. Guest Conduct

Palm Bliss International Hotel, Patna, reserves the right of admission and entry of persons entering the hotels premises. In the unfortunate event that the company's guests or their guest's behaviour become unacceptable and causes embarrassment or discomfort to others guests or hotel staffs, the management of the hotel reserves the right, at its sole discretion, to have the individual or individuals escorted outside the hotel.

15. Signage / Promotional Activity

No welcome signage, banner, display boards would be displayed in the driveway, entrance, lobby or any other part of the hotel except the banquet pre-function area. No promotional activity of any kind to/for outside guests is permitted at the hotel.

16. Confidentiality

The contents of the letter of agreement are confidential and are not to be disclosed to a third party without the written consent of the Palm Bliss International Hotel, Patna; Breach of this clause will be treated as a material breach of this contract.

17. Tax

Government tax is excluded in the rates quoted in this agreement at the level applicable on the issue date. The company will bear any changes to taxes that may be imposed by government authorities from time to time. The hotel therefore reserves the right to alter the rates accordingly.

18. Damage

In case of any loss or damage that is caused to the hotel, including the items, whose services are rendered during the event by the guest(s) attending the event, the same shall be recoverable from the company after the event at a price fixed by the hotel. The hotel will provide an estimation of charges that will be added to the total expenses and will be borne by guest.

19. Branding

All print and publicity material using the hotel name or logo needs prior approval from the hotel's management. Please note that Palm Bliss International Hotel, Patna. Has a pre-defined standard for any promotional material for the purpose of branding and the same will need to be followed with prior written approval from the hotel.

20. Cancellation of the Event Policy

If the event is cancelled post confirmation and signing of the letter of agreement, received by Palm Bliss International Hotel, Patna from the company/ Party. The cancellation of the event must be notified in writing. Please note, that the initial advance deposit paid at the time of signing the contract, is non-refundable and forfeited in the event of cancellation. These amounts shall constitute full settlement of any and all obligations arising out of the non-performance of this agreement.

21. Smoking Policy

As per the notification dated Friday, May 30, 2008 issued by Ministry of Health and Family Welfare, smoking in public places, spitting in public places including hotels, restaurants, refreshments, banquet halls, outdoor spaces is an offence and prohibited by law. The public spaces including all function room spaces of our hotel are non-smoking. In the event a guest of yours is caught smoking within such premises of our hotel, a penalty of INR 5000 + taxes will be charged each time. In the event the guest refuses to pay the penalty charges then the company is liable to pay the hotel this amount. The hotel is not liable to provide any proof to the company regarding this, however the hotel will keep the authorized representative of the company informed each time such an incident takes place. The company is requested to keep all their guests informed on our smoking policy.

22. Force Majeure

The parties' performance under this contract is subject to acts of God, War, Government regulations. Terrorism, disaster strikes, civil disorder, curtailment of transportation facilities, or any other emergency beyond the party's control, making it inadvisable, illegal or which materially affects the parties' ability to perform its obligations under this contract. Either party may provide written notice to the other party to terminate this agreement for anyone or more of such reasons upon written notice to the other party within seven working days of such occurrences.

23. Arbitration

In the event of any dispute or differences arising out of or in connection with this agreement including the interpretation of the terms and conditions of this contract, the same shall be referred to arbitration as per the provisions of The Arbitrator and Conciliation Act, 1996; the venue of such arbitration shall be Delhi.

24. Governing Law

This letter of agreement is governed by the laws of India.

25. Indemnification

The guest agrees to indemnify, defend and held harmless hotel and its agents, officers and employees, from and against all claims, liabilities, losses, damages, suits, costs and expenses of whatever kind (including reasonable legal fees and other costs of litigation or arbitration), relating to this agreement, or which may arise out of the guest's breach of any of its obligations or its negligence, fault, improper or wilful misconduct, or by its agents, officers and employees, in performing their obligations or rendering services under the terms of this agreement. This indemnification shall survive expiration or termination of this agreement.

27. Option Date

Palm Bliss International Hotel, Patna does not block any rooms or functions space until or unless the signed copy of the letter of agreement is received by the hotel, and until or unless all the terms of the letter of agreement are fulfilled by the company. These are to be completed or before the option dates as mentioned in the letter of agreement.
